What to include in a facilities management scope

A useful scope explains how the site works, not only which services are required. These are the details worth defining before asking for proposals.

Start with the facility itself: location, use, occupied hours, visitor patterns and any areas that cannot be taken out of service. These details influence staffing, shift design and the equipment required.

Then define the work by frequency and outcome. 'Clean the lobby' leaves room for different interpretations. A stronger scope explains when the lobby must be ready, which surfaces are included, how often checks take place and who accepts the work. Technical services should identify the assets in scope and distinguish planned work from call-outs.

Finally, agree how communication will work. Name the client contact, the service contact, the escalation route and the information needed in regular reviews. A clear scope makes proposals easier to compare and gives both parties a practical foundation for mobilisation.
